Job Overview

We’re looking for a strategic and hands-on TA Systems & Operations Manager to lead and optimize our recruiting technology ecosystem. In this role, you’ll ensure our systems, processes, and people work together to deliver an exceptional candidate experience, improve recruiter efficiency, and drive data-informed hiring decisions.

 

You’ll partner closely with Talent Acquisition, HR Tech, IT, and external vendors, while leading a team that supports recruiting operations and system workflows.

 

This job is located in Warroad, MN. If you're considering relocating to Warroad, you will be eligible to receive a relocation package. Highlights of your role

TA Systems Strategy & Ownership

  • Lead the TA technology ecosystem (ATS, CRM, interviewing tools, background checks)
  • Define and execute the systems roadmap aligned to hiring goals and candidate experience
  • Evaluate and implement new tools, features, and integrations
  • Serve as the primary point of contact for TA technology vendors
  • Lead and develop a team of TA Coordinators and a Systems Administrator

iCIMS & CRM Leadership

  • Act as the SME for iCIMS ATS and CRM
  • Optimize workflows, automation, dashboards, and reporting
  • Drive CRM strategy including talent pools, campaigns, and candidate engagement
  • Ensure strong pipeline management and data integrity

Vendor Management

  • Manage relationships with recruiting vendors and partners
  • Optimize integrations between systems and screening providers
  • Monitor performance, SLAs, and compliance requirements

Reporting & Analytics

  • Develop and maintain dashboards and reporting
  • Track key metrics (time-to-fill, funnel conversion, source effectiveness)
  • Provide insights to improve recruiting performance and workforce planning

Process Optimization & Automation

  • Streamline recruiter and coordinator workflows
  • Implement automation to improve efficiency and consistency
  • Lead system enhancements, upgrades, and continuous improvement

Cross-Functional Partnership

  • Partner with TA leadership, HRIS, IT, and Compliance
  • Support recruitment marketing efforts and CRM campaigns
  • Act as a bridge between technical teams and TA users

Training & Change Management

  • Develop and deliver system training and documentation
  • Drive adoption of new tools and processes
  • Provide ongoing support and troubleshooting

You're a good fit if you have (or if you can)

  • Bachelors degree in related field and/or equivalent experience preferred 
  • 5+ years of experience in TA Operations, HR Systems, or Recruiting Technology
  • Deep expertise in iCIMS ATS and CRM
  • Experience leading and developing a team
  • Experience managing background check and pre-employment vendors
  • Strong understanding of the full recruiting lifecycle
  • Experience with system integrations and vendor management
  • Strong analytical skills with experience in reporting and dashboards

Also want to make sure you have

  • Experience with CRM campaign strategy and talent communities
  • Knowledge of compliance requirements (FCRA, EEOC)
  • Experience with additional TA tools (interviewing, assessments, AI sourcing)
  • Background in high-volume or specialized recruiting environments

Compensation

$121,000 to $151,000 Annually (and is bonus eligible)
